Full-Time Position at Galveston Arts Center as Program Coordinator/Administrative Assistant



Mission of the Galveston Arts Center


Believing contemporary art can inspire, engage, provoke and inform, the Galveston Arts Center (GAC) presents dynamic and innovative work focusing on professional visual artists living or working in Texas. As a non-collecting, non-profit museum, the GAC furthers the careers of emerging and mid-career professional artists through the production of quality exhibitions and supporting media. The Office Manager is responsible for four main areas in GAC operations; Office management, volunteer program, membership program, and ArtWalk.

 

Responsibilities

Office Manager

  • Maintain GAC general email accounts
  • Maintain daily attendance records
  • Oversee office supplies and order when needed
  • Add any GAC mentions and pintables to archive
  • Data entry


Volunteer Program

  • Oversee volunteer orientation
  • Maintain volunteer hours
  • Source volunteers for GAC needs
  • Develop methods to maintain current, and attract new volunteers


Membership Program

  • Maintain member files
  • Send membership renewals in timely manner
  • Maintain member mailings
  • Liaison between GAC and MFAH
  • Develop and send digital membership newsletter
  • Organize three member events annually
  • Develop methods to maintain current members and attract new members


ArtWalk

  • Maintain communication with ArtWalk participants and manage registration
  • Develop brochure and print ads
  • Manage ArtWalk Webpage on site
  • Manage ArtWalk Facebook page
  • Distribute brochures via drop off and mailing
  • Staff volunteers
  • Oversee the event


Other Responsibilities

  • Attends Board meetings, staff meetings, Board and Staff retreats, committee meetings as appropriate; prepares miscellaneous reports, and makes presentations for Board and Executive Director as requested
  • Assists with and attends fundraisers, openings, special tours and other public functions of GAC
  • Other duties as requested by the Executive Director


Required Qualifications, Knowledge, Skills and Abilities

  • Excellent computer skills including Microsoft suite, email, web research; should be comfortable in a Mac environment; preferred experience with Photoshop, Illustrator, InDesign, and social media
  • Good interpersonal skills
  • Able to take direction, but also be able to function on own
  • Excellent oral and written communication skills with the ability communicate effectively and respectfully with people of all ages, abilities, and diverse communities.
  • Able to confidently give talks and make presentations
  • Outstanding organizational and administrative skills
  • The ideal candidate must be positive and collaborative with excellent people skills, and be willing to work flexible hours during the evening and weekends to oversee programs as needed
  • Experience collaborating or partnering with external organizations
  • Excellent time management with the ability to assess and coordinate multiple competing priorities and to work well under pressure in a multi-tasked environment
  • Ability to work with other staff, Board members, and the general public professionally and tactfully
  • Experience managing projects and programs
  • Data entry experience
  • Excellent organization skills


Preferred qualifications

  • Spanish English Speaking
  • Experience with QuickBooks software
  • Experience in Non-profits
  • Comfortable climbing a ladder
  • Able to carry 50 lbs.
